Item – Maximum Quantity Issued

In another article we had added a spare part, item 12853 to asset 2169 and the IssuedQty field was incremented.

On the Item Master application for item 12853 I have added a value of 1 to the Maximum Quantity Issued field, left-hand column.

On the Inventory application, if I go to issue item 12853 to asset 2169, I will receive the error “BMXAA1940E – You have exceeded the item maximum issue quantity for asset 2169.” Maximo is checking the Issued Quantity (ISSUEDQTY) field on the spare parts of the asset to see if the maximum quantity will be exceeded when it takes into account the quantity to be issued.

I have gone to the Item Master application for item 12853 and removed the Maximum Quantity Issued value, it is now blank. On the Inventory application I have issued item 12853 to asset 2169, a quantity of 1.

The quantity issued has been added to the Issued Quantity (ISSUEDQTY) field, it is now 2.

On the Inventory application I have created a RETURN transaction for item 12853 from asset 2169, a quantity of 1.

Now, when you look at the Spare Parts tab of asset 2169 the Issued Quantity field has been reduced by the quantity of the return.

The Issued Quantity field in the Spare Parts tab of an asset is being incremented when you issue and reduced by the quantity of item returned, and the Maximum Quantity Issued field on the Item Master application is preventing you from over issuing. Why would you want that?

This is another feature that occurred when Maximo was being prepared to handle digital/IT assets. A software item does not need to be issued multiple times to the same asset. It is likely that if you use this feature the Maximum Quantity Issued will be set to 1.

Incidentally, you can add a Maximum Quantity Issued to a rotating item, but it has no effect. The rotating item will require the selection of a rotating asset when it is issued, and the selected asset(s) will be added to the location, and/or parent asset, if “Attach to Parent Asset on Issue?” is selected on the Item Master record. A rotating asset is not added to the Spare Parts table of the asset, it is added to the Subassemblies table window, or just to the location, hence the Issued Quantity field on the Asset Spare Parts cannot be checked. 

The last test on the article “Item – Attach to Parent Asset on Issue” issued rotating item MOT10 and asset 2182 to the rotating asset 2169. Rotating Item MOT10 at that point had “Maximum Quantity Issued” set to 1. It didn’t stop the second asset from being added as a subassembly to asset 2169, it has no effect on a rotating item.
