The responsibility fields exist on job plans, PMs and work orders but when a job plan or a PM is applied to a work order what are the defaulting rules on the work order?
The responsibility section has the following attributes:

Not all the fields can be filled:
- The owner and owner group are mutually exclusive, as you enter one field the other will be blanked
- Similarly lead and work group cannot both have a value
If there is a crew work group then you can only select a crew that belongs to the crew work group.
The attributes OWNER, OWNERGROUP and CREWWORKGROUP also exist on the job plan tasks (JOBTASK) but not supervisor, crew, lead or work group.
Applying a Job Plan to a Work Order
When a job plan is selected and applied to a work order then:
- Supervisor, work group or lead, owner or owner group, crew and crew work group are all copied to the work order.
- If the job plan has a work group then the lead is derived from the defaults for the person group that represents the work group.
- If the description on the work order is left null prior to applying the job plan then the job plan’s description will be copied to the work order’s description, if the work order has a description it is not overwritten.
Applying a PM with no Job Plan to a Work Order
- Supervisor, work group or lead, owner or owner group, crew and crew work group are all copied to the work order.
- If the PM has a work group then the lead is derived from the defaults for the person group that represents the work group.
- If the description on the work order is left null prior to applying the PM then the PM’s description will be copied to the work order’s description, if the work order has a description it is not overwritten.
- Work type and priority are also copied from the PM
Applying a PM with a Job Plan to a Work Order when the PM responsibility fields are blank
- Work group or lead, owner or owner group, crew and crew work group are all copied from the job plan to the work order. Supervisor is not copied from the job plan.
- If the job plan has a work group then the lead is derived from the defaults for the person group that represents the work group.
- If the description on the work order is left null prior to applying the PM and the PM’s description is null the job plan’s description will be copied to the work order’s description, if the work order has a description it is not overwritten.
- Priority is not copied from the job plan. There is no work type field on a job plan.
Applying a PM with a Job Plan to a Work Order when the PM and Job Plan responsibility fields are both filled.
- Work group or lead, owner or owner group, crew and crew work group are all copied from the PM to the work order if these have a value, otherwise they will come from the job plan. Supervisor is only copied from the PM.
- If the PM has a work group then the lead is derived from the defaults for the person group that represents the work group.
- If the description on the work order is left null prior to applying the PM and the PM’s description has a value then this is used otherwise the job plan’s description will be copied to the work order’s description, if the work order has a description it is not overwritten.
- Work type and priority are copied from the PM.
- Owner and owner group are mutually exclusive, however, if owner group is on the PM and owner is on the job plan then the work order receives the owner group from the PM.
- Lead and work group are mutually exclusive, however, if the PM has a work group and the job plan has a lead then the group default from the work group will take precedence over the lead on the job plan.
- If the crew work group has a value on the PM but a null value on the crew field then if the crew on the job plan is for the same crew work group then it will be added to the work order.
- If you enter a crew on the PM and a crew work group on the job plan and the crew does not belong to the crew work group you will get an error on PM generation and the work order will not be generated (tested on Maximo 7.6.0.3, this is likely to be a code issue).
How should we use the Responsibility fields on a Job Plan and PM?
- Rule 1 – You should provide a description on both the PM and the job plan to assist searching, but realise that when a PM generates the work order the description will be derived from the PM and not the job plan.
- Rule 2 – Distinguish between the job plans that are used on PMs and those which are used for reactive or corrective work. Template type is a good field for this as it is filterable on the Select Value of the job plan field on Work Order Tracking application.
- Rule 3 – Set owner, owner group, work group, lead, crew work group and crew on either a PM or a job plan but never on both. Consider only using these fields on a job plan and never on a PM in that way they are in one place whether the job plan is used on a PM or not.
- Rule 4 – Set supervisor and work priority on a PM and only use these fields on a job plan if the job plan will not be used with a PM but is applied directly to the work order.
- Rule 5 – Always enter a crew work group before a crew if you are going to enter both values in this way the crew Select Value is filtered for you.
