Standard Actions and Standard Action Groups are used in quite a few HSE applications and sometimes in multiple places within one application. For example, standard actions are used in four different places in the MOC (HSE) and Permit to Work (HSE) applications.
There are two types of Standard Actions, a checklist and a review action.
- When a checklist standard action is applied the user has a checkbox to indicate that the action was completed.
- When a review action standard action is applied the user has:
- A Yes, No, or Not Applicable response
- An alphanumeric response
- A scored response
- A set of review items each of which can have one or more of the above three response elements.
A review action may also be a combination of all of the above bullets. There will also be a checkbox to indicate that the action was completed.
You create your Standard Actions first, set them to Active state, then add them to a Standard Action Group before setting the group to Active state. The Standard Action Group can then be applied in another HSE application.
Standard Actions (HSE)
Standard Action Tab
- Standard Action – This is the key field, there is no autokey and hence a convention might be used, for example the first three characters indicating where the standard action is intended to be used. You may also consider a numeric to provide an order when the standard action is applied to a standard action group and then applied to another Maximo object.
- Description – Field is displayed in lookups, it has a long description. The description is often written as a question.
- Status – Read-only field with values of DRAFT, ACTIVE and INACTIVE. Value changed using action Change Status. The View History action shows a status history. The default status is DRAFT.
- Status Date – Read-only field is set when the status is changed.
- OrganizationA structural element of a Maximo database which is used for data sharing and is often aligned to a legal entity of an organisation. More – The object PLUSGSTDACT is at SYSTEMORGSITE level. You can make a Standard Action specific to an organization but only during insert, once saved the field becomes read-only. There is a standard lookup.
- SiteA structural element of a Maximo database that is used for data separation. More – The site field is editable only during insert, once saved the field becomes read-only. There is a standard lookup.
Details section
- Type – The type of standard action is supported by a set of values, Management of Change, Action Tracking, Generic. This could be used to record the application where the standard action is used.
- Category – The category of the standard action is supported by a set of values, Information Update, Procedure, Review, Permit. This could be used to record where in an application the standard action is used.
- Timing – This mandatory field is used to indicate when in the life cycle of a record the standard action will be used. It is supported by a set of values, Pre-Start, Post-Start, Default. This could also be used to indicate where in an application the standard action is used, however, the Category field is shown in the standard lookups.
- Repeatable – This checkbox allows the standard action to be used multiple times when it is applied to a record.
- Review Action – This checkbox distinguishes between a checklist standard action and a review action standard action. If it is left unchecked the required responses and review items can still be used.
- Review Response Type – This field is used to indicate the type of response and is supported by a set of values, Yes/No, Scored, Numeric, Combined. It does not enforce which Required Response fields can be used.
Required Response section
- Yes or No – Checkbox to indicate whether the Yes, No and Not Applicable checkboxes should be shown when the standard action is applied.
- Score – Checkbox to indicate whether the Score field should be shown when the standard action is applied. The Score field will only accept integer values, negatives are accepted.
- Alphanumeric – Checkbox to indicate whether the Alphanumeric field should be shown when the standard action is applied.
Review Items table window
- Review Item – An integer value that starts at 10 and increments by 10 for each new row. It becomes the sort order when the review items are displayed against a standard action.
- Description – The question to be asked for the review item. It has a long description which could be used to provide an explanation.
- Review Response Type – This field is used to indicate the type of response and is supported by a set of values, Yes/No, Scored, Numeric, Combined. It does not enforce which Required Response fields can be used.
- Yes or No – Checkbox to indicate whether the Yes, No and Not Applicable checkboxes should be shown when the standard action is applied.
- Score – Checkbox to indicate whether the Score field should be shown when the standard action is applied. The Score field will only accept integer values, negatives are accepted.

Standard Action Groups (HSE)
The Standard Action Groups (HSE) application is used to group Standard Actions so that they can be applied together.
Standard Action Groups Tab

- Owner – Read-only field is set when the Take Ownership or Select Owner actions are used. If a value is entered the Owner Group field is blanked.
- Owner Group – Read-only field is set when the Select Owner action is used and a Person Group is chosen. If a value is entered the Owner field is blanked.
Standard Actions in Group
- This table window is entirely read-only with the exception of the Standard Action field which is supported with a Select Value and Go To Standard Actions (HSE).
- Both the Select Value and the button Select Standard Actions will show a list of active standard actions with the columns Type and Category. As in many cases standard actions are applied in groups you will need to use these two fields to help filter the records to find the standard actions that you want to group together.
- There is currently no sequence or order by field in this table window. When a standard action group is applied the standard actions are applied in descending alphanumeric order. An order by can be easily configured in the table window. Therefore, if the order of the standard actions is important when it is applied to an object, MOC, Investigation, etc, then a certain degree of planning of how to name the standard action will be required, for example INV01, INV02, INV03.
